When using traditional FOCUS Credit Card processing (i.e. NOT EMV), your FOCUS system handles the initiation of your credit card batch settlement.
While FOCUS does not control the full batch settlement, FOCUS does tell your backend Merchant Service Processor to start the batch settlement process which is how you ultimately get your credit card money.
There may be some circumstances where either FOCUS cannot initiate the settlement process, or your backend Merchant Service Processor errors or rejects the batch. This is BAD! When this error occurs, your batch settlement might get stuck and you won't get funded for that batch.
No 💵 = 😭
But all is not lost! FOCUS has some great ways of notifying you if your batch does not settle. First, you'll see a notification message when you come into the restaurant in the morning that looks something like this:
This Batch NOT Successful error message is definitely not good. If you see this message, call the FOCUS Helpdesk. Most likely, you cannot fix a batch error without help.
The next place that you can see if your batch settled is in the FOCUS BOH Dashboard:
The System Alerts section of the FOCUS BOH Dashboard will show you when your last batch was, and the amount. It's recommended that your opening managers check this dashboard every morning to confirm the batch was successful.
The last place you can check for Batch Status is the Batch screen itself. Log in to FOCUS and go to your Manager Functions screen.
Locate the "Batch" button in the fourth column, third button down. Click this button.
You may see a message stating File \\FOCUS\C\FOCUS\batch\trans not found. This is GOOD and OK. This means we do not currently have an OPEN batch. Yay!!
If you press OK, you'll then see a screen like this:
Notice that the "Current Batch" has nothing listed. That's good. No batch is currently OPEN. Looking at the totals we see all zeros, again, no credit cards have been run yet.
Looking in the Last Batch Status Window we see the listing of the Previous Successful Batch Information. This tell us all about the last batch and when it was run. If this text is in GREEN you're golden. Your last batch was successful and you're ready to rock. However, if this text is in RED it means your last batch was unsuccessful and you NEED to call the FOCUS Helpdesk to get the problem resolved.
Now, if you don't see the File \\FOCUS\C\FOCUS\batch\trans not found. Message, it means that you currently have an OPEN batch. IF you're looking at this window in the middle of the day, that is OK, because you're expected to have an OPEN batch. BUT, if you're looking at this first thing in the AM and you SHOULDN'T have an open batch, something may have gone wrong.
As always, feel free to contact the FOCUS Helpdesk to get any problems resolved. You can always contact us here: Contact the FOCUS Helpdesk
