Accounting Interface
Focus Point of Sale can integrate into QuickBooks and ACCPAC directly or QuickBooks compatible accounting applications.
Restrictions
The Accounting Interface will not automatically export. Once the Accounting Interface is configured you can generate a report that can be exported as a file, or emailed to the accounting department that can be imported into QuickBooks.
Process to Setup Accounting Interface
Step 1: Attain the Chart of Accounts
Step 2: Enter the Chart of Accounts
- Navigate to Miscellaneous>AccountingInterfaces
- Select the first unused interface option from the left hand column. Once selected it will be highlighted in dark blue, and you can begin configuring the new accounting interface.
- In the NAME field type in the name you would like to use as a reference. Multiple accounting interfaces can be setup.
- In the TYPE drop down select the type of accounting application you will be using.
- From the bottom transaction listing, select the first line (Line1) and use the Transaction Configuration area from above to map to the accounting application.
- From the SALES TYPE drop down, select the type of transaction you would like to add to the export. Below is a listing of example Sales Types.
- In the ACCOUNT NUMBER field input either the account name exactly the same as listed in the accounting application or the account number.
- From the DEBIT/CREDIT drop down select whether the entry will be a debit or credit against the account.
- Under VENDOR NAME you can enter a memo or description of the GL entry (i.e.:BeerSales).
- Select the SAVE button to save your work, and if additional entries need to be made select the next line to add additional transactions.
Note: Since Focus reports the Net Sales on the DSR and accounting export if you wish for the gross sales to be reflected into your accounts you must also set all item level discounts (RG Disc REPORT GROUP NAME) to credit to the same account as the corresponding Sales Accounts.
Step 3: Setup Accounting Interface Report Export
- Navigate to Reports > Setup
- Create a new report
- Name = Accounting Export
- Type = Daily Report
- File Format = Accounting Interface
- Accounting Interface = Name of Interface Created Above
- Select Daily Transactions
- Select the 'Output' tab
- Destination = E-mail
- File Name = %dAccountinExport.iif
- E-Mail Address=Email addresses of accounting department
- Select Save and Close
Step 4: Setup Interface Export to Email Accounting Department
- Navigate to Reports > Setup
- Create a new report
- Name = Accounting Email
- Type = Collection Report
- Date = Previous Business Date (or week or month, depending on accountant preference)
- Reports to Include in Collection = AccountingExport
Step 5: Create Time Range to send report
- Navigate to Miscellaneous > TimeRanges
- Create appropriate Time Range (if not sending everyday)
Step 6: Create an Event to send report
- Navigate to Miscellaneous > Events
- Name = QBInterface
- Report = Accounting Export
- Options = Active
- Frequency = Once Daily
- Time = Desired Time
- Active Time = Time Range created above (if applicable)
- Select Save and Close
